ESSV Alcedo attaches great importance to the protection of your personal data. In this Privacy Policy, we aim to provide clear and transparent information about how we handle personal data.
We do everything we can to protect your privacy and therefore handle personal data with care. ESSV Alcedo complies with all applicable laws and regulations, including the General Data Protection Regulation. This means that we:

Processing of personal data of members or suppliers

Personal data of members or suppliers are processed by ESSV Alcedo for the following purpose(s):
Administrative purpose;
Communication about the assignment and/or invitations;
The execution or issuing of an order.

For the above purpose(s), ESSV Alcedo may request the following personal data from you:
First name;
Infix;
Surname;
(Business) Telephone number;
(Business) Email address;
Gender;
Account number;
Address details;
Study and educational institution.
Your personal data will be stored by ESSV Alcedo for the above-mentioned processing(s) for the period:
During the term of the agreement and thereafter only in the financial administration for a maximum of 7 years.
Contact information for former members is retained indefinitely to enable us to contact them for any anniversary activities.

Processing of personal data of Newsletter subscribers

Personal data of Newsletter subscribers are processed by ESSV Alcedo for the following purpose(s):
Informing the person through news releases.
The basis for this personal data is:
The Newsletter registration form;
For the above purpose(s), ESSV Alcedo may request the following personal data from you:
First name;
Infix;
Surname;
Email address.
Your personal data will be stored by ESSV Alcedo for the above-mentioned processing(s) for the period:
During the period that one is registered.

Processing of personal data of prospects, stakeholder/lobby contacts and/or interested parties

Personal data of prospects, stakeholder/lobby contacts and/or interested parties are processed by ESSV Alcedo for the following purpose(s):
Providing information in the form of newsletters and/or targeted contacts.
The basis for this personal data is:
Oral consent, issuing of business card, registration as an interested party;
For the above purpose(s), ESSV Alcedo may request the following personal data from you:
First name;
Infix;
Surname;
Phone number;
Email address.
Your personal data will be stored by ESSV Alcedo for the above-mentioned processing(s) for the period:
During the period that one is seen as a prospect, stakeholder/lobby contact and/or interested party.

Disclosure to third parties

We may provide the information you provide to us to third parties if this is necessary for the implementation of the purposes described above.
For example, we use a third party for:
Maintaining the internet environment of the AVG program;
Providing the (financial) administration;
We never share personal data with third parties with whom we have not entered into a data processing agreement. We naturally make the necessary arrangements with these parties (processors) to ensure the security of your personal data. Furthermore, we will not share the data you provide with third parties unless legally required and permitted. An example of this is if the police request (personal) data from us as part of an investigation. In such a case, we must cooperate and are therefore obligated to provide this data. We may also share personal data with third parties if you give us written permission to do so.

Within the EU

We do not provide personal data to parties established outside the EU.

Minors

We only process personal data of minors (persons under the age of 16) if written permission has been given by the parent, guardian or legal representative.

Retention period

ESSV Alcedo does not store personal data for longer than necessary for the purpose for which it was provided or is required by law.

Security

We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing. For example, we have taken the following measures;
All persons who may access your data on behalf of ESSV Alcedo are bound to confidentiality.
We maintain a username and password policy on all our systems;
We pseudonymize and encrypt personal data if there is reason to do so;
We make backups of the personal data in order to be able to restore them in the event of physical or technical incidents;
We regularly test and evaluate our measures;
Our employees have been informed about the importance of protecting personal data.

Rights regarding your data

You have the right to access, rectify, or erase the personal data we have received from you. You can also object to the processing of your personal data (or part thereof) by us or one of our processors. You also have the right to have the data you provided transferred to you or, on your behalf, directly to another party. We may ask you to identify yourself before we can comply with these requests.

If we are allowed to process your personal data based on your consent, you always have the right to withdraw this consent.

Complaints

If you have a complaint about the processing of your personal data, please contact us directly. If we cannot resolve the matter together, we are, of course, very sorry. You always have the right to file a complaint with the Dutch Data Protection Authority, the supervisory authority for privacy protection.
